Bylaws of the MadBatters Youth Softball Organization

Article I: Name and Purpose

  1. Name
    The name of this organization shall be the MadBatters Youth Softball Organization.

  2. Purpose
    The purpose of the MadBatters is to provide a positive and inclusive environment for youth athletes to develop their skills in softball, promote teamwork, and encourage physical fitness. The organization will emphasize sportsmanship, leadership, and community involvement, fostering a love for the game of softball in all participants.

Article II: Membership

  1. Eligibility
    Membership is open to all youth, regardless of race, color, creed, or gender, who have an interest in participating under the guidance of the MadBatters. (baseball program coming soon).
    Softball is currently girls only.

  2. Types of Membership

  3. Player Membership: Any youth who participates in the softball program.

  4. Parent/Guardian Membership: The parents or legal guardians of participating players.

  5. Volunteer Membership: Individuals who assist in coaching, organizing, or supporting the program.

  6. Honorary Membership: Individuals recognized for their contributions to the organization.

  7. Dues
    The Board of Directors may establish annual membership dues or player fees for individual players, volunteers, or other categories of membership as needed to support the organization’s activities.

Article III: Board of Directors

  1. Composition of the Board
    The Board of Directors shall consist of the following officers:

  3. President

  4. Vice President

  5. Secretary

  6. Treasurer

  7. Training and Development Coordinator  

  8. Fundraising Chair

  9. At-Large Members (as needed)

  10. Duties of the Board Members

  11. President: Presides over meetings, represents the organization, and oversees all operations.

  12. Vice President: Assists the President and assumes duties in their absence.

  13. Secretary: Keeps minutes of meetings, handles correspondence, and maintains official records.

  14. Treasurer: Manages financial records, oversees fundraising, and prepares annual financial reports.

  15. Tournament Coordinator: Organizes leagues, schedules games, and manages team rosters.

  16. Fundraising Chair: Leads fundraising efforts to support the organization’s financial needs.

  17. Term of Office
    Board members shall serve a term of two (2) years. With elections every other year rotating voting for the president, treasurer and fundraising chair on odd years and vice president, secretary and tournament coordinator.

  18. Meetings of the Board
    The Board shall meet at least once a month, and additional meetings may be called as needed by the President or by request of any two members of the Board.

Article IV: Elections

  1. Election Process
    Elections for Board positions shall be held annually at the organization’s annual meeting. Nominations may be made from the floor, and all members in good standing are eligible to vote.

  2. Voting
    All elections shall be decided by a simple majority vote of the eligible members present.

Article V: Committees

  1. Standing Committees

  2. Coaching Committee: Responsible for the recruitment, training, and evaluation of coaches.

  3. Safety and Risk Management Committee: Ensures safety protocols are followed and reviews any potential risks associated with the organization’s activities.

  4. Fundraising Committee: Focuses on securing financial support through various events and activities.

  5. Social/Community Committee: Organizes social events and community outreach programs for the organization.

  6. Ad Hoc Committees
    The President may establish additional ad hoc committees as needed to support specific goals or projects.

Article VI: Meetings

  1. Annual General Meeting (AGM)
    The MadBatters shall hold an Annual General Meeting at a time and place designated by the Board. The purpose of this meeting is to review the year’s activities, elect new officers, approve the budget, and conduct any other necessary business.

  2. Regular Meetings
    Regular meetings of the membership shall be held quarterly. Members will be notified of the date, time, and location in advance.

  3. Special Meetings
    Special meetings may be called by the President, the Board of Directors, or by written petition of at least 10% of the membership.

Article VII: Code of Conduct

  1. Player Conduct
    Players are expected to display good sportsmanship at all times. Disrespectful behavior, including but not limited to arguing with coaches, officials, or other players, will not be tolerated.

  2. Parent/Guardian Conduct
    Parents/guardians are encouraged to support their child’s development in a positive manner. Disruptive behavior, including inappropriate comments to players, coaches, or officials, will not be tolerated.

  3. Coaching Conduct
    Coaches are expected to demonstrate positive leadership, provide constructive feedback, and foster a safe and supportive environment for all players. Coaches must adhere to the organization’s policies and procedures.

Article VIII: Finances

  1. Fiscal Year
    The fiscal year of the MadBatters Youth Softball Organization shall begin on Aug 1. and end on July 31.

  2. Budget
    The Treasurer shall present an annual budget at the AGM for approval by the membership. The budget must reflect the needs of the organization and allocate funds for program operations, equipment, facilities, and other essential expenses.

  3. Financial Oversight
    The financial records of the organization shall be reviewed annually by a third-party auditor or financial review committee to ensure accuracy and transparency.

Article IX: Amendments

  1. Amendment Process
    These bylaws may be amended by a two-thirds (2/3) majority vote of the membership at any regular or special meeting, provided that the proposed amendment has been submitted in writing to all members at least 14 days prior to the meeting.

Article X: Dissolution

  1. Dissolution of the Organization
    In the event that the MadBatters Youth Softball Organization must be dissolved, any remaining assets after debts and liabilities have been settled shall be donated to a charitable organization with a similar mission, as determined by the CEO.

These bylaws serve as a foundational document to ensure that the MadBatters Youth Softball Organization operates smoothly and in a manner that benefits its members and the wider community. Adjustments can be made as the organization grows and evolves.
